Cancellation and Refund Policy

Cancellation and Refund Policy

WholeSoMe Nutrition

Last updated: 3 November 2026

1. About this policy

WholeSoMe Nutrition provides nutrition education, lifestyle coaching and support through different services, including:

  • Mindful Menopause Club (MMC): An ongoing online membership providing educational content, group coaching, live support sessions, resources and community access.

  • One-to-one nutrition programmes: Individual nutrition support delivered through structured programmes, including the four-month programme with monthly instalments.

This policy explains the cancellation, payment and refund arrangements for both services.

We aim to be transparent and fair in our dealings with clients. Nothing in this policy affects your statutory consumer rights under UK law.

2. Mindful Menopause Club – Monthly Membership

2.1 Membership and payments

MMC operates as a rolling monthly membership. Membership fees are charged monthly and your membership renews automatically until cancelled.

You receive immediate access to the relevant members-only content, resources and community features upon joining.

2.2 Cancelling your membership

You can cancel your membership at any time by following the cancellation instructions provided when you join or by contacting WholeSoMe Nutrition at contact@wholesomenutrition.net.

When you cancel:

  • Your membership will not renew for the next billing period.

  • You can continue accessing the Club until the end of the period you have already paid for.

  • Access to members-only content, live sessions, community discussions and other membership benefits will end when your paid membership period expires.

Please cancel before your next scheduled payment date to avoid being charged for another membership period.

2.3 Missed sessions and unused benefits

MMC membership provides access to educational content, community discussions, challenges, live group sessions and other membership benefits.

Members are responsible for managing their own participation and making use of the opportunities and resources available to them.

We do not offer refunds, credits, replacement sessions or other compensation if a member:

  • Misses a live session or is unable to attend at the scheduled time.

  • Does not participate in discussions, challenges or activities.

  • Does not read, watch or engage with the educational content or resources.

  • Chooses not to use some or all of the benefits included in their membership.

  • Does not achieve their personal goals or expected outcomes.

Membership fees cover access to the Club and its included benefits, not a guaranteed level of participation, individual progress or a particular health outcome.

This does not affect your statutory rights where we fail to provide the membership service agreed.

2.4 Membership refunds

Outside applicable statutory cancellation rights, membership fees are generally non-refundable.

We will consider refund requests where:

  • You have been charged more than once for the same membership period.

  • A payment has been taken in error.

  • A payment has been taken after your cancellation should have taken effect.

  • We have failed to provide the membership service you paid for.

  • You are otherwise legally entitled to a refund or another remedy.

We do not normally refund unused time within a paid membership period simply because you decide to stop participating.

3. One-to-One Nutrition Programmes

3.1 Programme duration and payments

Our current one-to-one nutrition programme runs over four months.

Where monthly payments are offered, these are instalments towards the total programme fee rather than separate monthly subscriptions.

The total programme price, payment schedule, duration and services included will be confirmed before you commit to the programme.

By joining, you agree to the programme terms and the agreed payment arrangement.

3.2 Cancellation before programme completion

If you decide to stop participating before completing the programme, please notify WholeSoMe Nutrition in writing at [insert email address].

We understand that circumstances can change. However, one-to-one programmes involve professional time, individual assessments, consultations, preparation and ongoing support.

If you cancel early:

  • You will not receive a refund for consultations, assessments, advice, resources or other programme services already delivered.

  • You will not be entitled to a refund simply because you have decided not to continue or have not achieved your intended results.

  • Any outstanding instalments will be considered in accordance with the agreed programme contract and applicable consumer law.

Cancelling your participation does not automatically cancel outstanding payment obligations under a fixed-term programme. However, we will not seek payment for services that we are no longer required or able to provide where this would be contrary to your legal rights.

3.3 Refund requests after programme completion

Our one-to-one programmes provide professional guidance, education and support over an agreed period.

Individual results depend on many factors, including personal circumstances, consistency, engagement and the implementation of recommendations.

We do not offer refunds simply because:

  • You have not achieved the results you hoped for.

  • You are dissatisfied with your personal progress despite the agreed programme being delivered.

  • You have chosen not to follow the dietary or lifestyle recommendations.

  • You have not implemented the agreed steps or made the suggested changes.

Clients are responsible for deciding whether and how to implement the advice and recommendations provided during the programme.

WholeSoMe Nutrition cannot independently verify every dietary choice, lifestyle change or recommendation implemented outside consultations. For this reason, a lack of progress or failure to follow recommendations does not, by itself, entitle a client to a refund.

This does not affect your statutory rights where a service has not been delivered as agreed or with reasonable care and skill, or where another legal basis for a remedy applies.

3.4 Missed appointments and non-participation

Clients are responsible for attending scheduled appointments, completing agreed activities and engaging with the programme.

Missing a consultation, not completing an assessment or activity, or choosing not to implement recommendations does not automatically entitle you to a refund, replacement appointment or additional support.

Please contact us as soon as possible if you need to rearrange an appointment. Any agreed appointment rescheduling arrangements will apply, subject to your statutory rights.

4. Statutory right to cancel – 14-day cooling-off period

When you purchase a service online or through another distance-selling arrangement, you will generally have a statutory 14-day cooling-off period, starting the day after you enter into the contract.

This applies to both MMC membership and one-to-one programmes, although the rules for digital content and services can differ.

If you request immediate access to digital content or ask us to begin delivering services during the cooling-off period, we will obtain the express consent and acknowledgement required by law.

Depending on the service and the circumstances:

  • You may be required to pay a proportionate amount for services already provided before cancellation.

  • Your right to cancel digital content may end once supply begins, if the required consent and acknowledgement have been obtained.

  • Your right to cancel a service may end once it has been fully performed, where the required conditions have been met.

We will provide the relevant cancellation information and obtain any necessary consent before starting supply where required.

Nothing in this policy removes or restricts your statutory cancellation rights.

5. Changes to services and programme delivery

We may occasionally update educational content, resources, challenges, activities and session schedules to reflect the development of our services and the needs of our clients and members.

We will communicate significant changes where appropriate.

We will not use these updates to avoid our obligations to provide the services agreed with you.

If we make a material change that significantly affects the service you purchased, or if we are unable to deliver an agreed part of your service, we will consider an appropriate solution. Depending on the circumstances, this may include an alternative arrangement, rescheduling, a credit or a refund where required by law.

6. Cancellation or discontinuation by WholeSoMe Nutrition

In exceptional circumstances, WholeSoMe Nutrition may need to suspend or discontinue a service.

If we are unable to continue providing a service you have paid for, we will inform affected clients and members as soon as reasonably practicable.

We will consider any outstanding payments and provide any refund or other remedy required by law for services that we cannot deliver.

7. How to request a cancellation or refund

Please contact us using the following details:

Email: contact@wholesomenutrition.net

Subject: Cancellation or refund request

Please include:

  • Your full name.

  • The email address associated with your membership or programme.

  • The service you purchased.

  • A brief description of your request.

We will review your request in accordance with this policy and applicable consumer law.

Where a refund is due, it will be processed within the applicable legal timeframe and using the appropriate payment method.

8. Consumer rights

This policy is governed by the applicable laws of the United Kingdom.

Nothing in this policy excludes or limits any consumer rights that cannot legally be excluded or limited.

If any provision of this policy is found to be unenforceable, the remaining provisions will continue to apply to the extent permitted by law.
